Getting Started with ATS

Navigate the ATS Dashboard with hiring stats, insights, pipeline overview, and activity

Overview

Alexia.ai includes a full Applicant Tracking System at no extra cost. Post jobs, collect applications, screen candidates with AI, manage your hiring pipeline, schedule interviews, and handle approvals - without subscribing to a separate ATS platform.

Accessing ATS

Open the portal switcher in the upper right corner of the screen and select 'Hire Humans (ATS)' to open your ATS dashboard. The left sidebar provides navigation to all areas: Dashboard, Jobs, Candidates, Approvals, Interview Availability, Budget Approvals, User Access, Salary Matrix, Salary Calculator, and Pipeline Config.

Dashboard Overview

The Dashboard shows a personalised greeting and key metrics at a glance:

  1. Active Jobs - the number of currently open positions
  2. Candidates - total candidates in your system
  3. Offers Accepted - how many offers have been accepted
  4. Interviews - total scheduled interviews

Insights

Below the overview, the Insights section highlights items that need your attention with colour-coded alerts:

  1. Overdue Approvals - job approvals past their SLA deadline
  2. Candidates Need Action - candidates awaiting your response
  3. Offers in Progress - candidates currently in the offer stage
  4. High Candidate Activity - new candidate applications this week

Activity & Schedules

The Activity & Schedules section shows three panels side by side:

  1. Action Required - candidates needing a client review or other action, with their role and a status tag
  2. Upcoming Interviews - scheduled interviews showing candidate name, role, date/time, and an interview link
  3. Recent Activity - a live feed of candidate status changes (e.g. 'Amit Mittal → Shortlist', 'Harsh Shah → Disqualified') with timestamps

Hiring Pipeline

The Pipeline Overview shows a visual funnel of all candidates across stages. Each stage displays a count and trend indicator showing how many candidates moved in or out. Quick links let you jump to View Jobs, Candidates, or Analytics, and you can also Post a New Job directly from the dashboard.

Jobs & Actions

At the bottom, Top Jobs shows your most active job postings with candidate counts and offer status.

Check the Dashboard daily to stay on top of overdue approvals, candidates needing action, and upcoming interviews. The Insights section will flag anything that needs your immediate attention.
