Calendar Assistant

Manage your schedule, create events, and get AI-powered calendar insights

Overview

The Calendar Assistant lets you manage your schedule, create events, and get AI-powered insights about your time - all from within Alexia.ai. Access it from the left sidebar in the main Alexia.ai interface. At the top, you'll see a summary bar showing Today's Events, This Week's total, Pending Requests, and Reminders.

Quick Access Cards

The Calendar Assistant opens with four quick access cards:

  1. Today's Schedule - see all events scheduled for today
  2. This Week - view your full weekly schedule at a glance
  3. Create Event - quickly create a new calendar event
  4. Meeting Requests - view and manage pending meeting requests from others

Suggested Prompts

Below the cards, Alexia.ai offers AI-powered prompts to help you manage your calendar:

  1. Organise My Week - let Alexia.ai suggest an optimised schedule for your week
  2. Create Rules - set up automated calendar rules (e.g. block focus time, auto-decline conflicts)
  3. Find a Time - find available slots for meetings with specific people
  4. Prep for Today - get a briefing on today's meetings with context and talking points
  5. Meeting Insights - get AI analysis of your meeting patterns and time usage

Calendar View

The right side of the screen shows a full calendar view with Day, Week, and Month toggles. Navigate between dates using the arrow buttons or click 'Today' to jump back to the current day. Events are displayed as coloured blocks showing the time and title. You can click on any event to see its details.

Right Sidebar

The right sidebar provides additional tools:

  1. Mini Calendar - a compact monthly view for quick date navigation. Click any date to jump to it in the main calendar
  2. Booking Pages - manage your booking pages that let others schedule time with you
  3. Time Insights - AI-generated analytics showing your meeting hours this week, focus time ratio (percentage of uninterrupted work time), and your busiest day

Calendar Tabs

At the top of the calendar panel, tabs let you switch between different views:

  1. Calendar - your main calendar view
  2. Requests - incoming meeting requests
  3. Reminders - your scheduled reminders
  4. Availability - manage your availability for bookings
  5. Rules - set up automated calendar rules
  6. Settings - configure calendar preferences and connected calendars

Ask Your EA

At the bottom, there's a chat input where you can ask your EA (Executive Assistant) anything about your calendar in natural language. For example, 'Schedule a team standup every Monday at 9am' or 'What's my availability next Thursday afternoon?'. You can also attach files or paste images for context.

The Calendar Assistant integrates with your connected calendar (Google Calendar, Outlook, etc.). Connect your calendar through Settings to get the full experience including event syncing, availability detection, and meeting insights.
