Getting Started with HRIS
Set up your built-in HR Information System and navigate the dashboard
Overview
Alexia.ai includes a full-featured People Management (HRIS) system at no extra cost. Manage your entire workforce - timesheets, leaves, onboarding, user management, employment records, clients, and reporting - all from one place, without subscribing to a separate HRIS platform.
Accessing HRIS
To open your HRIS, click the portal switcher in the upper right corner of the screen and select 'People Management (HRIS)'. This takes you to your HRIS dashboard.

- You'll land on the Dashboard with an overview of your team
The Dashboard
Your HRIS dashboard gives you an at-a-glance view of everything happening with your team. At the top, you'll see key stats - Hours Logged, On Leave Today, Birthdays (next 30 days), and New Joiners (last 30 days). Below that, you'll find Timesheet Progress for the current period, Who's Out (showing Annual Leave and Sick Leave), Upcoming Birthdays, Upcoming Holidays, and New Team Members.
Navigation
The left sidebar provides access to all HRIS modules:
- Dashboard - your team overview and key stats
- Timesheets - log hours and track time across the team
- Leaves - manage annual leave, sick leave, and other time-off requests
- Onboarding - set up and track new hire onboarding workflows
- User Management - add, edit, and manage team members
- Employment Records - maintain detailed employment history and documents
- Clients - manage client assignments and relationships
- Reporting - generate HR reports and analytics
Quick Actions
From the dashboard, you can quickly perform common actions using the buttons at the top: 'Log Hours' to submit your timesheet and 'Request Leave' to submit a time-off request.
Your dashboard is personalised - it greets you by name and shows data relevant to your organisation. Switch between organisations using the dropdown at the top of the sidebar if you manage multiple teams.
Role-Based Access
What you can see and do in HRIS depends on your role. There are three access levels:
- Employees - can access their own timesheets, leave balances, leave requests, and employment records. They can log their own hours and submit leave requests.
- Team Leaders - can access everything employees can, plus view and manage their team's timesheets, leave requests, and records. They can approve or decline leave requests and review timesheets for their direct reports.
- Admins - have full access to all HRIS modules, including User Management, Employment Records, Clients, Reporting, Timesheet Settings, and Year-End Processing. Admins can manage all users across the organisation.
If you can't see a particular tab or feature, it may be restricted to your access level. Contact your admin if you need additional permissions.
