Employment Records
Manage employee directory, shift allocation, and salary access
Overview
The Employment Records module is your central repository for employee employment details, shift assignments, and salary access controls. Click 'Employment Records' in the left sidebar to access three tabs: Employee Directory, Shift Allocation, and Salary Settings.
Employee Directory
The Employee Directory tab shows a paginated list of all employment records across your organisation. You can search by employee name or client, and filter results. To create a new record, click the '+ Add Record' button. Columns include:
- Name & Title - the employee's name and job title (e.g. Senior React Native Developer, Backend Developer, Chief Technology Officer)
- Client - the client the employee is assigned to
- Employee - the employee ID code (e.g. PAT-PH-101, EMP-006)
- Start Date - when their employment began
- End Date - when their employment ended (blank if still active)
- Status - current employment status (e.g. Active)
- Status Note - additional status detail (Regular or Probation)
Employee Record Detail
Clicking on an employee in the directory opens their full employment record. At the top, you'll see the employee's name, email, their assigned client, status, and employment period. The record is organised into six tabs:
- Basic Details - core employment details including Position / Title, Employee Number, Country, Status, Status Note (Regular or Probation), Employment Type (e.g. Full Time), Start Date, and Duration
- Hiring Details - recruitment information including Requisition Open Date, Forecasted and Actual Offer Dates, Forecasted Start Date, Days Role Open, Days to Offer, Days to Join (Post Offer), and Probation dates (Forecasted and Actual End Dates)
- Offboarding - exit management fields including Notice Start Date, Exit Reason, Exit Sub-Reason, and Notice Policy & Classification (Notice Policy in days, Client Type, and Role Type)
- Billing Details - financial information including Billing Start Date, Last Billing Date, Forecasted and Actual Monthly Billing (in AUD), Internal Assignments (Sales Owner, Account Manager, Recruiter, HR), and Referral Program details
- Compensation & Skills - sections for Core Skills, Salary Data (with the ability to add entries), and Title History tracking role changes over time
- Update History - an audit log showing all changes made to the employment record, with a count of updates
Shift Allocation
The Shift Allocation tab lets you view and manage shift assignments for all employees. Each employee is listed with their name, title, client, country (with flag), and their assigned shift. Shifts are configured in Timesheet Settings and assigned here - for example, 'Philippines Regular Shift (08:00 - 17:00)' or 'AU Holiday Shift - Regular (08:00 - 17:00)'. Use the dropdown on each row to change an employee's assigned shift.
Employees showing 'Not assigned' need a shift allocated before their timesheets can be properly tracked. Use the filter button to quickly find unassigned employees.
Salary Settings
The Salary Settings tab controls who can view and edit salary information through a Salary Access List. Click '+ Add User' to grant access. Each entry shows the user's Name, Email, Access Level (e.g. Edit Access (EOR + Internal)), and an Actions column to remove access. Access levels can be adjusted using the dropdown on each row.
